Privacy Policy

1. Introduction
This Privacy Policy governs the manner in which VSBL Pty Ltd (ACN 163 187 559 / ABN 68 115 392 660), trading as Visible Online Marketing (“VSBL”, “Visible”, “we”, “our”, “us”), collects, uses, maintains and discloses information collected from users (each, a “User”) of the thevisibleos.com website (the “Site”) and the products offered through it — including the Visible Test, the Visible Audit, and any related diagnostic, advisory or strategic services (collectively, the “Services”).
This Policy applies to thevisibleos.com and to all products and services offered by Visible OS and related VSBL businesses. It should be read alongside our Terms of Use.
2. What we collect when you take the Visible Test
The Visible Test is a free diagnostic. When you use it, we collect the following directly from you via the test form:
- Your first name and last name;
- Your email address;
- Your business name and website domain;
- Optional context: your role (founder, business owner, in-house marketer, agency, investor), annual revenue band, and growth intensity (your stated growth posture for the next 12 months);
- Your responses to the 10 test questions.
From those inputs we calculate and store the following derived data: your Visibility Score, your Visible Archetype, and your Visible Stage. These are returned to you in the results email and on your results page.
3. What we collect automatically
When you visit the Site or submit the Visible Test, we also collect the following information automatically. None of it requires you to do anything — it is captured by your browser and our hosting infrastructure as part of normal web traffic:
- Approximate geographic location (country, region, city, timezone) derived from your IP address by our hosting provider (Vercel) at the network edge. Your raw IP address may be temporarily logged for security and abuse prevention.
- Device and browser information: user agent string, device type (mobile / tablet / desktop), operating system, and browser.
- Traffic attribution: UTM parameters from the URL you arrived through (utm_source, utm_medium, utm_campaign, utm_content, utm_term) and the referring page where applicable.
- Email domain class: a flag indicating whether your email address is on a personal domain (e.g. gmail, outlook) or a business domain. We do not retain or share the underlying address with third parties beyond what is necessary to deliver your results.
- Business domain validity: a one-off DNS lookup to check whether your stated business domain has a valid mail server (MX record). This is a network query that does not exchange data with the domain itself.
- Standard server logs: server address, top-level domain, time of visit, pages accessed, files downloaded, and previous referring site.
4. Cookies and tracking
The Site uses cookies and similar tracking technologies via Google Tag Manager. The tags loaded may include Google Analytics 4 and other measurement or advertising pixels we use to understand how visitors engage with the Site and to improve it.
You may refuse cookies via your browser settings. If you do so, some parts of the Site may not function correctly. You may also opt out of Google’s personalised advertising via Google’s Ads Settings.
5. How we use the information we collect
We collect and use personal information for the following purposes:
- To produce your Visible Test result. Your inputs are processed to calculate your Visibility Score, Archetype and Stage.
- To deliver your results. We send your results to the email address you provide, including the rendered PDF report.
- To follow up. If you have indicated interest, we may contact you about your result, the Visible Audit, and related services. You can unsubscribe at any time.
- To improve the Service. Aggregate, de-identified data is used to refine the questions, scoring, and recommendation logic.
- For internal analytics. Traffic, attribution and engagement data inform our marketing and product decisions.
- To meet legal obligations. We retain data as required by Australian law.
We collect personal information only for purposes which are directly related to our functions or activities under the Privacy Act 1988 (Cth) and only when necessary or directly related to those purposes.
6. Where your data is stored and who can access it
Your data is stored in our cloud database hosted by Supabase. Email delivery is handled by Resend. Site hosting and edge networking is provided by Vercel. Some operational tooling (e.g. internal CRM, advisor tools) may store or process limited data. All of these providers are bound by their own privacy and security obligations.
Inside VSBL, access to your data is limited to staff and authorised advisors who need it to operate the Service, deliver your results, or fulfil a request you have made.
7. Sharing your information
We do not sell, trade, or rent personal information to third parties. We may share generic aggregated demographic information not linked to any personal identification information regarding visitors and users with our business partners, trusted affiliates and advertisers for the purposes outlined above.
We may use third-party service providers to help us operate our business and the Site or administer activities on our behalf (such as sending out emails, hosting infrastructure, or analytics). Those providers process information only on our instructions and only to the extent needed to perform the service.
8. Your Visible Test results are private
Each Visible Test result is keyed to a unique submission ID and is not publicly indexed. The /results pages are explicitly excluded from search-engine crawling via our robots.txt directive. Your results email and PDF are sent only to the address you supplied.
9. How we protect your information
We adopt appropriate data collection, storage and processing practices and security measures to protect against unauthorised access, alteration, disclosure or destruction of your personal information and the data stored on the Site. Sensitive data exchange between the Site and its Users happens over an SSL-secured communication channel and is encrypted in transit.
10. Data retention and deletion
We retain your data for as long as your account or relationship with VSBL is active, or as required to comply with our legal obligations and to operate the Service. You may request access to, correction of, or deletion of your personal information at any time by contacting us at the address in section 14.
11. Third-party websites
The Site may include links to third-party websites or services. We do not control the content or links that appear on these sites and are not responsible for the practices employed by them. Browsing and interaction on any other website — including websites that link to or from our Site — is subject to that website’s own terms and policies.
12. Children
The Service is not directed at children under 16. We do not knowingly collect personal information from children. If you believe we have inadvertently collected personal information from a child, please contact us and we will delete it.
13. Changes to this Privacy Policy
VSBL has the discretion to update this Privacy Policy at any time. When we do, we will revise the “Last updated” date at the top of this page. We encourage you to check this page periodically. Your continued use of the Site following any change constitutes your acceptance of the updated Policy.
